# Inventory automation for connected stores and suppliers

Your supplier updates a stock file. Someone downloads it, checks product codes and updates the store. Inventory automation connects those steps so your team can work on exceptions instead of copying quantities. SVS Digital builds stock synchronisation around your catalogue, suppliers and existing business systems.

## A stock change reaches the right product in your store.

- 01 Supplier feed or ERP stock

- 02 Match SKUs and product variants

- 03 Update sellable availability

- 04 Flag missing or outdated records

We adapt the workflow to your systems, data and approval rules.

## What can inventory automation connect?

### Supplier stock synchronisation

Read stock from a supported API, CSV or XML feed and match it to the correct product. Size, colour and supplier codes need explicit mapping. We agree which source owns each field so a supplier update does not overwrite a value your team maintains.

### Store and ERP integration

Connect the quantities your store displays with the system that manages inventory. Physical stock, reserved units and sellable stock can be different values. We define how each is calculated and when an order changes availability across the systems in scope.

### Low stock and stale data alerts

Notify the responsible person when stock crosses a threshold or a feed stops updating. A missing record does not automatically mean zero stock. The agreed fallback might pause a product, preserve the last verified value or request a manual check.

### A record of updates and exceptions

See the last successful update, changed items and records awaiting review. Failed transfers can be retried without repeating completed changes. The team gets a practical way to resolve an unknown SKU or an unexpected quantity before the next run.

### Example: a supplier runs out of one product variant

The next feed shows that a blue, medium-sized item is unavailable. The connection matches that exact variant and applies your availability rule. If the feed is incomplete, the record is flagged instead of assuming that every missing item is out of stock. This is an illustrative workflow; source availability determines what we can implement.

## How does implementation work?

- 01

### Map the catalogue

Review product identifiers, variants, suppliers and warehouses. Choose the source of truth for each field.

- 02

### Set the stock rules

Agree update frequency, reservations, safety stock and behaviour during an outage. Check the limits of each system.

- 03

### Pilot a small product set

Test valid changes, unknown SKUs, duplicate rows and stale feeds. Compare the store with verified source data.

- 04

### Launch with monitoring

Expand to the agreed catalogue, assign exception owners and track failed updates and time spent on manual corrections.

From our projects

## MGP Tekstil: 2,000+ products updated every 15 minutes

For MGP Tekstil, we connected supplier inventory with the online store and automated the transfer of orders. The published case study describes more than 2,000 products synchronised every 15 minutes. That interval belongs to this project; your sources and operating needs determine the appropriate schedule.

## What determines scope and cost?

Inventory automation pricing depends on the number of feeds, catalogue quality, variants, update frequency and stock rules. One supplier with consistent product codes is a smaller project than several warehouses with reservations. We separate data preparation, integration development and ongoing support in the proposal. Start with one feed if you want to establish the process before expanding.

### What to bring to the first conversation

- Your store and inventory or ERP system.

- Approximate product, variant and supplier counts.

- A sample stock export or available API documentation.

- Required update frequency and common stock problems.

## Frequently asked questions

### Do we need new inventory management software?

Not necessarily. If your current system manages stock correctly, a connection may solve the manual work. If essential inventory functions are missing, we first identify the gap and compare a supported extension with a replacement.

### Is real-time stock synchronisation possible?

It depends on the source and destination. Some systems expose events; others only offer periodic exports. We agree a realistic update interval and explain the delay between a source change and its appearance in the store.

### Can you connect several suppliers?

Yes, where usable feeds or interfaces are available. Each supplier needs product mapping and availability rules. We also define whether to combine quantities or prioritise a supplier.

### Will automation eliminate overselling?

It can reduce the risk, but cannot guarantee that an item is always available. Sales can occur between updates. Reservations, safety stock and stale-feed handling help manage the remaining risk.

### Does inventory automation need AI?

Moving product codes and quantities usually needs reliable rules. AI may help with unstructured descriptions, but changes to sellable stock should remain traceable and checked.
