Context
Arctic Breeze Heating & Air is a regional American HVAC contractor with six service vehicles, a mix of repair and maintenance work, and one office coordinator handling calls, scheduling, dispatch, invoices and supplier communication.
The company had enough demand. The problem was access. Homeowners with a broken air conditioner rarely leave several voicemails and wait. They call the next contractor who answers.
The Challenge
During busy mornings and seasonal peaks, the coordinator could not answer the phone while dispatching technicians, helping customers at the desk or resolving an active job. Roughly half of inbound calls reached voicemail or rang out.
Callbacks often happened 30 to 90 minutes later. By then, many high-intent callers had already booked another company. Hiring another full-time dispatcher would add overhead, but still would not cover evenings, weekends or simultaneous calls.

The Solution
We designed the voice agent around the company's existing intake rules. It answers the main line and overflow calls, collects the details a technician actually needs, and books only within the correct service area, job type and availability.

It captures the address, equipment type, symptoms, urgency and customer status. Safety-critical calls follow strict escalation rules rather than receiving automated diagnosis.
Eligible jobs are booked into the field-service calendar. Emergencies, unusual requests and callers who ask for a person transfer to the on-call team with a structured summary.
The customer receives an immediate text confirmation, while the office receives the recording, transcript and job details in one place for review and follow-up.
The Result
During the first eight weeks after launch, answer coverage increased from roughly 52% to 96%. The AI agent recovered enough high-intent conversations to add about 48 completed appointments in an average month.
At an average completed ticket of $520, those additional jobs represent $24,960 in monthly booked revenue. The office coordinator remained the human center of the operation, but could spend more time dispatching, invoicing and helping customers instead of racing every ringing phone.
