Procurement automation from request to supplier order

Procurement automation connects purchase requests, approvals and supplier orders. SVS Digital builds the transfers and review steps that your team currently manages through email and spreadsheets. You decide who approves a purchase and which exceptions need attention before an order leaves your system.

Which purchasing steps can you automate?

Capture purchase requests

Collect requests from a form, internal portal or customer order in a consistent format. Item, quantity, deadline and owner stay together. Required-field checks make incomplete requests visible before a buyer has to chase missing details.

Route purchase order approvals

Apply your approval rules by value, department, supplier or order type. Define what happens when an approver is unavailable and show where a request is waiting. Changed terms can send an order back for review instead of silently reusing an earlier approval.

Send approved orders to suppliers

Transfer approved items through a supported supplier interface or prepare the agreed order document. Match product codes and keep a record of submission. Retry rules should prevent the same approved request from creating two supplier orders.

Track confirmations and discrepancies

Where the supplier provides status data, match acknowledgements to the original order. Differences in quantities, dates or prices can create a review task. Staff can see whether an order is drafted, approved, sent or awaiting a response.

Example: an online order triggers a purchase request

A customer order creates a supplier-order draft. The connection checks item codes and quantities. An unfamiliar product or a value above your threshold sends it to a buyer. After approval, the order is submitted and its response recorded. This example illustrates a possible implementation; the available supplier interface determines the final workflow.

How does implementation work?

  1. 01

    Follow a real purchase

Map the current request, approvals, supplier handoff and delivery tracking. Include one common exception.

  2. 02

    Define rules and interfaces

Check supplier and ERP access, product codes, approval thresholds and handling of duplicate requests.

  3. 03

    Test with one supplier

Verify approved orders, rejections, changed quantities, retries and missing confirmations before extending the scope.

  4. 04

Give the team a status view

Assign owners for pending approvals and exceptions. Compare processing time and manual touches with the previous workflow.

From our projects

MGP Tekstil: store orders connected to the supplier

The MGP Tekstil project connects online orders with supplier processing alongside inventory updates. It demonstrates our work on product mapping and order transfer. Approval routes, partial deliveries and additional purchasing functions are scoped separately for a new project.

What determines scope and cost?

Pricing depends on suppliers, submission methods, approval paths and the quality of item records. Preparing an approved purchase order is a narrower project than tracking partial deliveries across multiple suppliers. The proposal defines the first workflow, integration work and support. Your team can keep final approval while automating data preparation and validation.

What to bring to the first conversation

  • An example purchase order and a frequent exception.
  • The systems used by requesters, buyers and suppliers.
  • Approval thresholds and responsible roles.
  • Approximate monthly order volume.

Frequently asked questions

What is procurement automation?

It connects repeatable purchasing steps: collecting a request, checking details, securing approval, preparing a purchase order and tracking its status. The purchasing team defines rules and handles exceptions.

Can a person approve every purchase order?

Yes. Approval can apply to every order or selected conditions such as value, a new supplier or a changed price. We agree the level of automatic submission before implementation.

What if a supplier does not have an API?

We check supported alternatives such as CSV, XML or structured documents. If a reliable submission interface is unavailable, the system can prepare and validate an order for a person to send.

Can this connect to inventory and invoices?

Yes, subject to the available data and agreed scope. Stock rules can create a purchase suggestion, and received documents can be matched to an order. These connections need their own checks and exception rules.
